Pony Club Sponsors meeting
January 24, 2006
Meeting called to order at Cosumnes River Elementary school.
Roll taken. 8 out of 24 quorum not meet, not able to make motions or take
votes.
Sponsors in
attendance were: M. Vaughn, C. Toelle, C. Underwood, M. Moy, J. Rau, A.
Tudesko, B. Cortopassi, S. Dabb, and C. Dirksen.
Treasurer’s report

Sheilah needs to be put on checking account to sign
checks. She is trying to do the books will put on QuickBooks. Checking balance
is $7218.51
·
Wreath money is not all in. Janet cannot reach one
person to reconcile. Janet will have wreaths all settled by next week.

Check has been sent to the wreath company.
Michelle brought up a fundraiser event. Wal-Mart offers 1500
towards a grant. It would need to be for a specific event.
Sheilah brought up that things need to be in the budget,
last year many items were reimbursed that were not approved or in budget.
Winter riding
lessons
Cmor gave her bio: she rode as a kid did polo went to
Ireland got British Horse Society came back worked as a trainer in 1979 moved
to Elk Grove to work for Pacific Horse Center then went back to college. Degree
in business. Did some amateur riding.
Started in Hunters. She went back into teaching. She has been judging
unrated shows. She is one of our winter lesson instructors.
Discussed cross-country and discussed not doing enough
dressage and jumping. We should rotate maybe devote a month at a time to each
discipline.
Michelle brought up Junior Pony Club to help unrated to D1.
Parents need to attend meeting. It will be 14 weeks. The children earn merit
badges. The parents gain knowledge as well. 5 years old starting age. The D3
and C1 clubbers to teach the children.
Insurance
Still working on renewing insurance policy. We are insurance
per member from National. But each location also needs to be insured.
Rallies:
EBTH coming up Feb 11
Tetrathlon coming up
Games rally we have girls interested in joining team…there
is a qualifying team we can also add a team for fun
Quiz rally change from 12 to 10 and open book.
Discussed changes to specialty ratings. C3 lots of changes.
EBTH
We are hosting it Feb 11. Margie has only received one
packet sending two teams. Outside of our club (our club has two)
Margie met with Buzz Oats today the address is 8670 Younger
Creek Drive off of Elder Creek between So. Watt and Power Inn. It is not empty
there are car parts and couches we will need to put up caution tape.
Only one bathroom in whole place. We will need
porta-potties. Need to determine how many we need. We will need paper towels,
toilet paper.
Discussed the layout of the warehouse, setting up registration,
where to place the written test. Will need to park trailers inside. Will use
balloons with sandbags to show direction to warehouse. We need 16 tables and 80
chairs. Will advise people to bring folding chairs
We need garbage cans and bags C. Toelle to bring. We have to take garbage with us.
Michelle, Fran, and Sharon are doing food.
Will have a common area for food not eaten by the kids. Need
extension cords and duct tape flashlights.
Need cleanup supplies. We need a cleanup crew. DCPC to be cleanup crew
Margie will put on email to not use smooth soled shoes. The floor in the warehouse is concrete and
could be slippery.
C advisors will do a mini lesson when there is a down time.
Each team has a C advisor and they can give a lesson at that time.
C. Toelle will be doing gifts.
Discussed that we need to send $15 per registration to send
to Region from Rally
Discussed getting a fundraiser coordinator. Michelle brought
up idea to have children to boot shining at shows as for raising money for the club.

Quorum was met.
Meeting called to order. S. Dabb does not have a treasurer's
report. S. Watson makes a motion to move checking to US bank. Motion seconded
and so moved.
Post Rally update
54 paid 53 entrants one child was sick $3510
Food and t-shirts sales $393.90
Costs of 3147.99 club netted $362.
Horse management: no cell phone or walkie talkies with rally
participants. Our younger EBTH did better than the older girls. Think we need
more horse management. Our club has small interest in Quiz rally. It is March
11, 2006 so far Victoria Moreno and Anna Cortopossi.
Tetrathlon: those interested are:

Games Rally update April 9 th at SVE. Merissa, Ally,
Genay, Sara, Lauren,
Five members to the team but use the best four.
Team Equipment we have three sets of equipment. Every year
something is missing from one set. Need to find a way to keep it in check.
Discussed more accountability. Have a list for each set of equipment; maybe the
stable manager to check it off to make sure equipment is turned in. Sharon
suggests team captain to check out equipment. Or to have Parent of team captain
to check in after a rally. It was decided to try having three lists: one with
parent of captain at beginning of rally one a trailer and third list at end of
rally with captain.
Fundraiser coordinator: i.e. Wal-Mart will give a 1500
grant to a community group. Per Pat Duffy it is easy to do. Margie has contact.
Michelle had brought up boot shine at shows.
Albertsons shopping cards another idea.
Raleys/ Belair has a card too
C. Dirksen said she will be parent coordinator for boot
shine at shows. The position for fundraiser coordinator is still open
please contact M. Moy if interested.
Feedback on winter riding lessons. Very positive feedback
Food survey. Margie sent out a survey for dinner at
meetings.

Didn't want any family doing three meals. So in November
there are a few that had three meals. So either no meal that night or will do a
potluck.
DCPC polo/sweat/ jacket orders. Not enough to order. Many
sponsors said they do in fact wish to order.
Policy and bylaws of DCPC
Bylaws are the skeleton. Policy is a more like guidelines.
Three levels National Regional and club
Christina will send out DCPC bylaws.
Need to clarify attendance issues. We need to review and
update and send to National.
Required volunteer commitments for 2006. B. Cortopossi
and D. Sherrington are joint coordinators.
We do two shows for MEC per year.
CDS requires adults to volunteer Margie to find out what
that age truly is. Discussed coming up with a better way to coordinate the
volunteer schedule to make sure we have fulfilled our requirements.
Any new business. Sharon makes mention of adding more
dressage and show jumping to be added to policy.
Jumps at MEC are heavy to move.
Talked about jumping and dressage groups. Cmor brings up
they will be less focused by splitting up events during lesson.
Another suggestion that we have groups. Another suggestion
to notify if not coming. Cmor brings up from a trainer perspective it helps to
know who is coming.
Book list of library to be put on website. Anne put DCPC
stickers on books.

March
21, 2006
Meeting held at SVE
Meeting called to order by Margie Moy at 633pm.
14/25 sponsors present we have a quorum and can conduct
business.

Fees and dues due by first ride April 4 2006. Those who
haven't paid yet have been emailed. Trainer's fees have not been paid.
Rallies:
Quiz: Anna and Victoria went to quiz
Tetrathlon: nobody from our club is attending.
Games: two full teams. Still looking for a team for T.
Underwood. Three walk trotters going (Anna, Maddy, Victoria)
Dressage Rally: five or six so far interested. April
29-30 forms due March 25.
Eventing Rally. Kendra, Erin, Sara, Cassie, Allyson, May
5 6 7 at MEC
We are co hosting this rally
Food donations: the fee for food is not in the fee.
Housing for CHMJ. Anne Jacobs volunteered her house.

Volunteer obligations:
We have 20 mounted meetings (3 days for MEC 1 day for SVE).
The CDI shows are fundraisers for individual clubbers. This has to be adults or
have a driver's license age. There is a show June 2-4 they need volunteers will
be at SVE this would be a club fundraiser. Michelle to find out how much money
and see if the club wants to do it.

Winter riding lessons
Lynae is done got married leaving for honeymoon
Cmor is continuing lessons.
One weekend left with Earl last lesson was cancelled due to
low numbers. This Sunday Earl is taking two groups to Ram Tap $20 for Earl's
fees. Ramtap has $35 fees. May open up to other clubs if we don't fill it up.
Mounted Meetings:
First mounted meeting is April 4th 2006 at SVE. The
first meeting is an evaluation meeting. Make sure fees are paid and releases
are signed.
Michelle proposes we use SVE April 11, May 9(jumping) June
6(dressage) June 20th (sponsors meeting would have to switch) July
11(jumping) August 15(jumps) Sept 12. Michelle is offering these dates for club
use. Without increasing our volunteer commitment, but would more than welcome
the extra assistance at any show.
June 20th sponsors meeting will be moved to June
27th.
Trainers.
Emails have been sent out on the subject.4 trainers Cmor
Earl Gale and Randie
C2 with adult or trainer or C3 up as 5th trainer.
Suggested need one more HT which increases 20 dollars per
clubber.
If short a trainer for a lesson older group will do
bandaging, longing, lameness etc. C2 with adult or trainer or C3 up as 5th
trainer
Need a motion: Janet motions to increases trainers to five
and increase trainer fees by $20 per clubber. Sharon seconds motion. All in
favor none opposed. Margie to now creating a list of trainers for club to
approve.
Our region brings in an examiner for c3 prep each month. The
children get an evaluation. The kids at this point need to be very verbal about
their riding. Sometimes they are opened to C2s. Discussed C3 ratings.
How to improve smoothness for initial set up of mounted
lessons:
Randies’ suggestion assign group of horse and rider before
the meeting.
Trainers are assigned a group of same level riders and horse
before the meeting. Clubbers finds own assigned group.
Groups will change trainer and discipline every two weeks or
month? (Undecided)
If Clubber brings a different horse a change in riding level
must contact DC to let know if change so different group be assigned.
The groups will be fluid and dynamic if skill increases or
decreases. Most important thing is safety.
Age of horse is 5 and no stallions
Trainer should have final say
Need to tell clubbers to NOT argue with trainers, they have
final word.
Executive Board issue. A family who is taking a leave. They
paid for 2006 have not come . They want a proration. All opposed.
For March 28 we have games practice that is 10 kids in Games
practice away from unmounted meeting. So should we cancel the unmounted meeting
or have unmounted meeting at SVE. The next meeting is last unmounted meeting
March 28 and it will be held at SVE.
Any other business. Sharon wanted review of trainers. Earl,
Randie, Cmor Gale.

Winter Riding at SVE
Winter riding last year we were able to do with the trainers
offering special deals. Michelle has offered the use of SVE. Guest trainers $20
per ride will alternate rides in the month so that they ride once a month. The
other kids would have unmounted lesson.

Volunteering at SVE(vs MEC)
Talking about families paying instead of volunteering.
Novicki's said from get go they would not volunteer. J. Nugent also had trouble
doing volunteer she is a fulltime student etc. Discussed that if everyone did
that MEC would not be able to have
CDI shows.
Idea: Piney laundering * kids/parents selling “credits” of
volunteering
Talked about giving kids an idea of how much money it costs
to run a barn and have horses.

Nominating Committee for annual meeting. Sheila brought
up compensation for board members for volunteering. Or just something to ease
pressure. Or to get people involved.

Xmas Dinner. Boton Sushi again? Committee with gifts and
decorations. Collage picture. Fran and Sharon are dinner committee to decorate
and gifts.

Wreath Sales (Janet) any update. We can not have
indivual accounts from the wreaths it has to go into a pool. The cost of the
wreaths and transporation costs (.50 per item) have gone up. The large round
wreath is most popular. We will get wreath order form on annual meeting. Cutoff
date order must be by November 17. Ready by 27 0r 28. Michelle says we can have
it at SVE. Janet wants input on price of wreath ( keep at 20)
